Practical criteria to decide between repairing or replacing equipment in SMBs and reduce operational interruptions.

When a computer or laptop fails at a company, the cost is not only the repair. It is the person who cannot work, the customer who waits, the information that may not have been backed up and the time of whoever has to fix it in a rush. That is why the useful question is not only how much the repair costs, but when to fix, when to replace and how to prevent the failure from happening again.
At any of these signs, the first step is to back up the user's information. Many disk failures give warning; once the disk dies, recovering data is expensive and not always possible.
There is no single rule, but these criteria help decide without guessing:
Record each device with model, serial number, purchase date, warranty, assigned user and operating system. Without an inventory there is no plan, only emergencies.
Work files should live in a backed-up folder or in the company cloud, not only on the computer's desktop. That way a device failure does not become data loss.
Having only a few models makes it easier to find parts, prepare spare devices and support users faster.
Keeping one or two devices ready to lend prevents someone from being unable to work while theirs is repaired.
Instead of replacing every device at the same time every four or five years, replace part of the fleet each year, starting with the oldest or most critical. Spending becomes predictable and you never have the entire fleet aging at once.
Before selling, donating or discarding a device, securely wipe the data or destroy the disk. A forgotten disk with customer or company data is a risk avoided with a simple, documented procedure.
In business IT support we combine corrective support and preventive maintenance, with a device inventory and review of recurring causes. If your company still has devices on Windows 10, review them soon: tell us how many there are and we will put together a plan.
